Are you an organized and proactive individual with a knack for maintaining order and efficiency in a fast-paced environment? We are seeking a dedicated Site Administrator to join our team and oversee the smooth operation of our site's administrative functions.

Key Responsibilities:

Reception Duties:

  • Answer all calls efficiently and courteously, taking accurate messages and ensuring prompt delivery.
  • Greet all guests in a friendly, professional, and courteous manner, ensuring adherence to signing-in procedures.
  • Maintain the reception/visitors area, ensuring tidiness at all times and monitoring parking while advising on necessary vehicle movements.
  • Monitor security measures including alarms, keys, and building access.
  • Handle incoming and outgoing post, ensuring correct distribution according to QA procedures.
  • Serve as an ambassador for the company, maintaining a smart appearance, professional image, and confidentiality.
  • Manage meeting rooms and hospitality arrangements.
  • Handle deliveries and maintain organized delivery records.
  • Manage an updated contact list for the site.
  • Administer the sign-in process for fire safety purposes.

Administration Duties:

  • Set up and maintain site office systems including filing, spreadsheets, sign-in sheets, and project-specific forms.
  • Establish systems to ensure smooth site administration operations.
  • Prepare and distribute high-quality documents such as presentations, submissions, reports, site signage, and meeting minutes.
  • Maintain accurate records of telephone lists, holidays, sickness, and HSEQ documents.
  • Uphold QA procedures.
  • Maintain the filing system.
  • Keep notice boards up to date with safety, marketing, and company announcements.
  • Monitor and replenish cleaning supplies, stationery, and copier supplies.

Qualifications and Skills:

  • Proven experience in administrative roles, preferably in a similar setting.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Attention to detail and accuracy in record-keeping.
  • Proficiency in Microsoft Office suite and other relevant software.
  • Ability to prioritize tasks and work effectively under pressure.
  • Commitment to maintaining confidentiality and professionalism.
