Hourly rate equivalent to £25,000 / £26,000 per annum
Exciting new job opportunity just in for an Executive / Personal Assistant to join an industry recognised Construction and Engineering Company on a 3-month contract. We are looking for someone ambitious, talented, and motivated with a flexible approach to work. You will be responsible for providing administrative support to members of the executive committee. This is a fantastic opportunity if you are looking to gain further experience with a reputable organisation to contribute towards your professional growth and development.
Key Responsibilities –
- Managing and coordinating the day-to-day operations of the executive's office and overseeing various administrative responsibilities
- Managing and preparing all correspondence, agendas, meeting documents, reports, and presentations
- Responding to information requests, preparing the necessary documentation, and ensuring follow up actions
- Managing heavy executive calendars and anticipate on the executive's programme
- Overseeing and performing clerical duties such as reviewing and filtering all incoming and outgoing correspondence and calls, making travel arrangements and maintaining files
- Screening communication (e.g. mail, phone calls) as directed by executive
- Evaluating and comparing possible courses of action and make a decision or recommendation after considering the various possibilities. Maintain effectiveness in case of changing circumstance or resistance
- Overseeing and/or arranging special projects and events (i.e. travel, dinners, conferences, presentations)
- Conducting research and collecting data from various sources to incorporate in relevant communications, presentations, reports and spreadsheets
- Filing and organising paper and electronic documents, such as emails, reports and other administrative reports
- Interacting with the Executive Committee, Supervisory Board members, Company Secretary, senior managers and secretaries
- Attending internal and external events if required
What we need from you –
- Proven experience as an Executive Assistant
- A bachelor's degree or similar is desirable
- Experience in analysis and compilation of information, including the preparation of presentations and reports
- Proficient use of Microsoft packages (word, excel, etc)
- Managing and reporting expenses
- Excellent organisational skills and ability to effectively prioritise time and work
- Team player with effective inter-personal and communications skills to interact with various audiences
- Enthusiastic and positive attitude towards work
