Our client, a leading construction company in the UK is seeking to employ a Project Site Administrator / Document Controller to be based on a construction sites in Bournemouth and Poole. (preconstruction stage)

Hourly rate - £10 - £15 p/h PAYE
Mon - Fr, 45 hrs a week (0730 start time)
Length of assignment: 12 months with a potential to go permanent


JOB PURPOSE

To provide an excellent support service to the Construction Director, Project Manager and Site Team

RESPONSIBILITIES AND ACCOUNTABILITIES

• Support the Project Manager with his/her diary management and meetings, assisting with producing reports, making MPR packs, help prepare documents for meetings, send out MPR reminders for paperwork, processing expenses.
• Supporting the Site Management Team, ensuring all daily paperwork is available for them and the contractors and checking all is completed correctly, logged and filed efficiently i.e. inductions, RAMS etc.
• Logging induction form information accurately onto the system, ensuring this is kept up to date and readily available in case of onsite audits.
• Checking new starter CSCS requirement and validity, setting reminders for contractors for expiry dates due.
• Answering phones professionally, taking messages and transferring and screening calls.
• Making sure all files are kept up to date, presentable and accessible at all times, keeping on top of monthly/quarterly filing reviews for Managers.
• Organising meetings, managing the meeting room bookings/calendar and preparing refreshments for all meetings when required.
• Ensuring all daily duties are covered i.e. processing delivery tickets, skip tickets, ordering stationary, printer and kitchen items/materials when necessary ensuring the photocopier and stationary areas are fully stocked, fuel returns on credit 360, Sustainability data updated. Site preventions logged on H & S Management System.
• Preparing, typing and distributing minutes for meetings in a timely manner.
• Producing a newsletter, liaising with the community on visits, complaints, compliments as and when required.
• Keeping security informed weekly with the updated induction spreadsheet, keeping them stocked with stationary items if required.
• Preparing all labour/agency timesheets for sign off by the Project Manager and recorded on the ‘shared drive’ for Commercial access.
• Manage welfare/cleaner materials and order when stock is low in the absence of the nominated Site Manager.
• Producing temporary signage and posters where required for site and welfare facilities (if time allows).
• Ordering PPE and ensuring visitors PPE area is managed and kept stocked.


PERSON SPECIFICATION
• A minimum 2 years’ experience in an office based environment preferably within a Construction, Build or Property environment
• Professional and efficient approach
• Flexible and proactive
• Ability to work on own initiative and generate solutions
• Good organisational skills, including attention to detail and ability to prioritise own workload
• Good knowledge of Microsoft Word, Excel and Outlook.
• Ability to work to tight deadlines
• Approachable and friendly attitude
• Keen to deliver excellent service to the team
