Job description
- Update weekly material and plant returns. Ensure they are delivered to head office no later than 12pm the following Monday.
- Answer any incoming calls
- Operate the front door intercom
- Ensure visitors sign in and out of signing in book
- Invite all new subcontractors to Aconex issuing any relevant registration documents and offering support to subcontractors.
- Print all drawings off Aconex in A3 to enable PM to comment accordingly. Drawings can then be added to the workflow to enable all consultants / subcontractors to view comments.
- Keep hard copies of all drawings in relevant folders
- Update site drawing register ensuring all relevant parties have received the relevant drawings.
- Complete the weekly site audit
- Update project directory accordingly once package order is placed
- Order stationery when necessary
- Order printer toners when necessary and report any issues with printer
- Bind any new orders for the quantity surveyors
- Taking and producing the minutes of all following meetings: DTM, internal site team, PM review and ensuring minutes are distributed to relevant parties.
- To complete staff attendance daily and send to Jo Parkinson every Friday. Inform Jo Parkinson of any unauthorised absences / sickness
- Manage the biometric system onsite and ensure that the system is updated with any new employee details
- Offer support to the site team with any paperwork that may need filing / scanning on to the P Drive.
- Collect all operational and maintenance documents from subcontractors and produce O&M manuals. Create electronic copies for the client and order copies from Hobs.
- Order any drawings at larger sizes - A0, A1 etc. through Hobs
- Ensure all P Drive folders are up to date
- Ensure all documents are saved to the correct folder on P Drive
- Arranging production of tenant information packs for apartments following handover.
- Scan and file all delivery induction records
- Organises and audits the company's systems, databases, and procedures
- Arranging training for staff
- Plan and coordinate administrative procedures and systems and devise ways to streamline processes
- Recruit and train administrative personnel and allocate responsibilities
- Assess staff performance and provide coaching and guidance to ensure maximum efficiency
- Communicate job expectations; planning, monitoring, and appraising job results; coaching, and disciplining employees; initiating, coordinating, and enforcing systems, policies, and procedures
- Line management to all site administrators
