Receptionist - one month cover - Colchester - Immediate start

My client one of the UKs largest Facilities Management companies are looking for a Receptionist for one month in the Colchester area.

Key Responsibilities:

• To proactively communicate, both verbally and electronically, in order to receive instruction and provide feedback where
necessary. This includes daily checking of individual email accounts and CAFM system.
• Ensure the provision of a safe & healthy working environment, ensure compliance with all Company policies and
procedures, as well as client site policies, procedures and working arrangements.
• Proactively report hazards, as and when they arise.
• Identify innovation to enhance performance and continue to meet client expectations.
• Ensure that professional and technical skills are maintained through a commitment to personal development and
lifelong-learning.
• To adhere to the local uniform requirements and comply with all PPE requirements, as outlined in the site-specific risk
assessments.
• Other duties in line with requests from the customer or management team as appropriate.

Client Liaison
• Establish effective day-to-day business relationships with the client and be responsive to their needs.
• Proactively walk around site and report faults and hazards via helpdesk function.
• Carryout regular fabric and cleaning audits to ensure show site standards.
• Supporting Hiscox Property Services Team in relation to minor Projects and moves/relocations etc.
• Supporting Hiscox Property Services Team in relation to financial processes.
• Engage client representatives in joint staff wellness schemes.
• Act as client key contact when Regional Manager is off site.
Maintenance Activities
and Permit to Work documentation where appropriate and in line with training.
• Carry out daily walk round inspection of the building and record, resolve or escalate any maintenance issues through
CAFM system.
• Planned preventative maintenance tasks (PPM) in line with training and skill set such as but not limited to water
temperature monitoring, showerhead disinfection, weekly recorded fabric inspections such as checking of toilet doors
and toilet seats, HVAC filter cleaning & changing, weekly emergency light flick tests, weekly fire alarm test etc
Cleaning
• Act as first point of contact for all cleaning complaints, record and communicate via helpdesk and site
communication book.
• Carry out daily & weekly cleaning quality audits.
• Monitor consumable levels and equipment availability.
• Escalate any cleaning standard issues to Contract Manager.
Post Room
• Responsible for collection, sorting and distribution of all incoming post.
• Responsible for the collection of all outgoing post from the mail collection points around the building.
• Responsible for the franking of all outgoing mail and packaging for mail pickup.
• Responsible for the distribution of any paper requirements at the printer points.
• Ensuring all relevant stock levels are adequate for day to day duties.
