Job description

Key Areas of Responsibility


  • On a weekly basis, review the latest drawings and update drawing rack
  • Issue latest drawings to Suppliers/Subcontractors.
  • Prepare Site Contacts List ready for issue as detailed on Workload Programme.
  • Prepare Site File ready for issue as detailed on Workload Programme.
  • Prepare O&M manuals ready for issue as detailed on Workload Programme.
  • Review and co-ordinate latest Approvals and Consents trackers received from Design Consultants in conjunction with Administrator based in Edinburgh.
  • Chase all suppliers and subcontractors to ensure readiness two weeks prior to commencement date as detailed on Workload Programme.
  • Issue Enquiries to Suppliers/Subcontractors and raise and issue orders in conjunction with QS.
  • Attend Framework Review Meetings and provide administrative support as required.
  • Assist in the preparation and completion of Subcontractor Performance Reports.
  • Support the employment screening services to meet Client requirements (criminal convictions and financial checks to satisfy banking sector clients)
  • Update resource tracker to include approved holidays.
  • Arrange bookings for Hotel and Travel requirements.

  • Continually seeking opportunities to enhance relationships and service provision to clients, both internal and external.


  • Assist Commercial team also with administration requirements.


  • Development of effective working relationships in order to meet client requirements.
  • Support a one-business culture through open and effective communications.
  • Ensuring the administration assistant team have the requisite skill, qualifications and experience to carry out their activities by regularly monitoring performance and quality of work.
  • To manager your direct report, setting objectives and identifying key development plans.


  • Complying with the Company's Quality Management System and Environmental System; by ensuring appropriate paperwork relating to Company's management systems are uploaded to Union Square.


  • Compliance with the Employee Handbook, Company processes and procedures.
  • Undertaking learning and development activities to enable improvement in personal performance effectiveness.
  • Offering a flexible and pro-active approach to the business, undertaking additional duties that may fall outside of job profile in support of wider business requirements.
