Office Manager - Asset Management

Job description

To plan, organise, and maintain all office facilities and services. Liaise with landlord, agree actions and check invoices and bills. Manage document control within the building and distribute as required. Assist with the general duties of the LNW CAM Framework management team as directed in an efficient and professional manner. To act as the point of contact for various operational and support function staff.

Key Tasks & Responsibilities

- Ensure the building is properly managed and maintained incl interface with 3rd parties

- Ensure that all relevant documentation (H&S files, PAT testing, Drills and alarms) is up to date. Scheduling of Testing & Communication to minimise disruption to Teams

- Analyse and report of project/framework progress

- Short reports, note taking and presentations

- Set up new project codes in Infotrak and Workspace from NR Monitor System

- Update Workspace as required incl document control and notice boards

- Produce letters, reports, memos, forms and schedules, utilising a wide range of PC based software packages

- Filing of project information as required

- Perform general internal administrative duties, including stationary ordering, copying drawings, copying CDs and general photocopying.

- Maintain Control Room Boards for Framework

- Generate KPI's weekly for NR

- Confidential PA Duties for Project Manager as required

Person Specification

- Good keyboard / PC skills and the ability to work to tight deadlines and under pressure

- Good attention to detail and a professional and confident telephone manner

- Excellent communication and interpersonal skills

- Confident decision maker and problem solver

- Good planning and organisational skills

- Ability to liaise with managers to resolve issues

- Work with minimal supervision

- Efficient analysis and resolution of administration problems

- Demonstrate good reporting skills
