Document Controller - Coventry (Near Stoneleigh) - Start End of November 2018 - Initial 6-month contract - £15.00 Per Hour

Our client, a large construction contractor within the Water / Waste Water Sector, is looking for a contract/freelance Document Controller, to work on a large Sewage Treatment works (STW/WTW) South of Coventry (Near Stoneleigh), on behalf of Severn Trent Water. The main responsibilities of this role will include being responsible for controlling the location and administration of site documentation, including site drawings, organising this system via an EDCS (Electronic Document Control System). Due to an increase in work, our client is looking for a freelance/contract Document Controller and they can initially offer circa 6 months worth of work (subject to extension).

Daily duties include but are noted limited to:

  • Scanning, checking and uploading site documentation via an EDCS (Electronic Document Control System).
  • Ensuring that saved documents follow the correct naming conventions, META data and other attributes are used and maintained.
  • Transferring key deliverables via internal & external systems.
  • Liaising with different team members, to ensure that documents are correctly submitted/logged.
  • Updating the online register and tracking where documents are, ensuring information if current and up to, (information including drawing numbers, hyperlinks to required documents).
  • Supporting the overall team by promoting correct filing of relevant emails.
  • Ensuring all paperwork is recorded when disposed of/archived.
  • Sharing good practice with the wider Document Control community (continuous improvement)
  • Maintaining working relationships within the internal Team, supply chain and the client.
  • Communicating effectively at all levels, which may include greeting site visitors (front of house), answering calls and accessing intercom when required.
  • Various Site Administration tasks, as required by the line manager, including but not limited to the preparation of reports, occasional meeting minutes, printing and distributing of documents as required, updating notice boards and management of stationary supplies.
  • Completion of relevant requisitions, checking and signing delivery notes as required.

Candidates will ideally:

  • Have previously worked in a similar role, ideally within the Construction/Civil Engineering industries.
  • Have working knowledge of using EDMS systems and internal IT systems. Example systems include:
    • Information Exchange (CAPTURE) User.
    • Business Collaborator 6.3 Administrator.
    • Good Microsoft Outlook, Word, Excel, Powerpoint & Visio.
    • OneDrive.
