We are looking for a PA to support several Directors within Infrastructure. The role is located in the Head office in Maple Cross with attendance at London meetings also required. Maple Cross is a modern workspace with good transport links including on-site parking.

You will be given the autonomy required to achieve this and will be open to your ideas in general. You will have strong organisational and delegation skills and sufficient gravitas to ensure senior managers respond to requests in a timely manner.

You will have experience of working within a large organization with multiple communications channels and be personable and resilient. You will be used to juggling priorities and be able to intuitively know what is important at any one time. Skanska is looking for a committed and loyal PA who is seeking to work in a supportive yet demanding environment.

We're looking for:

  • Experience as an Executive Officer or Personal Assistant reporting directly to a senior lead
  • Proven organisational and project management experience
  • Exceptional stakeholder skills - must be able to deal with people at all levels
  • Excellent communications written and verbal
  • Ability to priorities, organise, multi task and escalate to lead PA or relevant LT Member

You'll be responsible for:

  • Ensuring preparation of documentation, presentations etc. for internal and external meetings are actioned in advance to ensure smooth running of meetings
  • Organising and administering workshops and events for the Strategy and Operational Excellence teams and wider business conferences
  • Preparing agendas and taking notes and actions
  • Administering a bring forward system, briefing the Director as appropriate
  • The comprehensive and high quality diary support for the respective Leadership Team members.
  • Managing and administering the scheduling of weekly, monthly, quarterly meetings. Checking where conflicts occur and resolving in good time.
  • Supporting the graduate and apprentice steering group with training and development
  • Preparing communications and reporting and ensuring respective LT member submissions are collated in a timely manner. Accountable for chasing and escalating where required.
  • Supporting the team responsible for updating the intranet
  • Managing expense claims for relevant leadership team member(s) only.
  • Organising travel ad accommodations arrangements for leadership team member(s) and Stretch and Unlimited candidates, in accordance with Travel policy. Advise others as appropriate to make their own arrangements.
