Job description

Office Administrator

Based: Basingstoke, Hampshire.
Contract Hours: Initially up to 3 days a week, flexible working.
Rate: Depending upon experience.

General administration, to include:

* Answering the telephone and taking messages, assisting where possible.
* Greeting and handling queries where possible, of visitors to the office - customers, suppliers, sub-contractors.
* Dealing with paperwork and filing.
* Liaise with management regarding requirements, timescales and outcomes.
* Any other duties as deemed necessary to achieve company goals.
* Checking peoples hours / timesheets.

Key Outputs/Deliverables:

* Maintain all deadlines promises and action plans communicated to management, customers /suppliers or required by process.
* Workload is processed effectively and efficiently.
* Respond politely and effectively to all queries as appropriate, e.g. face to face or via email or telephone and in written correspondence.
* All processes and procedures are adhered to.
* Documents administration and files are up to date and accurate.
* Systems are updated regularly and data integrity and accuracy is maintained.
* Archiving of files and documents in line with company procedure.
* A satisfied management and customer I supplier base.

Person Specification

Qualification and Experience:

* Proficient in Microsoft Office packages, including advanced Excel to v-look up and pivot table standards, Word and Email.

Technical & Specialist Knowledge

* The ability to deal with sensitive situations, and respect the confidentiality of the issues raised.
